NeuroPhos is building next-generation optical AI processors to break the power and speed bottlenecks of modern silicon. We are a fast-growing hardware/semiconductors team looking for an experienced, detail-oriented Payroll Manager to oversee our multi-state payroll operations on a part-time basis.

Position Overview

As the Payroll Manager, you will take full ownership of our payroll processing, compliance, and multi-state tax setup. You will ensure our employees and contractors are paid accurately and on time while keeping our operations compliant as we expand across state lines.

Key Responsibilities

  • Payroll Execution: Manage and process semi-monthly payroll for full-time/part-time employees and W-2/1099 contractors across multiple US states.
  • Tax & Compliance: Set up and manage state and local payroll tax accounts in new jurisdictions as hiring expands. Ensure full compliance with federal, state, and local labor and tax laws.
  • Benefits & Deductions: Partner with HR/Finance to manage benefits withholdings (401k, health, HSA/FSA), equity/stock option tracking integrations, and garnishments.
  • System Administration: Maintain and optimize our payroll software (e.g., Rippling, Gusto, ADP) and integrate time-tracking or expense management data.
  • Audit & Reporting: Perform regular audits of payroll data, reconcile general ledger payroll entries with the Finance team, and prepare year-end tax documentation (W-2s, 1099s).
  • Employee Support: Act as the primary point of contact for employee payroll inquiries, tax withholding updates, and direct deposit adjustments.

Qualifications & Requirements

  • Experience: 5+ years of dedicated payroll processing experience, ideally in a startup, biotech, or hardware/tech environment.
  • Multi-State Expertise: Proven track record handling multi-state payroll, state tax registration, and local tax compliance.
  • Software Proficiency: Hands-on experience with modern cloud HRIS/Payroll platforms (Rippling, Gusto, ADP Workforce Now, or similar).
  • Attention to Detail: Meticulous precision with numbers and strong organizational skills.
  • Communication: Clear, responsive communication skills suitable for a distributed, asynchronous remote team.
