Position Overview
The Talent Acquisition Scheduler is responsible for coordinating high-volume interviews across multiple time zones, ensuring a seamless experience for candidates, hiring managers, and interviewers throughout the recruiting process.
As a member of the Talent Acquisition team, you'll manage interview logistics, monitor interview confirmations, maintain accurate candidate records in Greenhouse ATS, and serve as a professional point of contact for candidates and internal stakeholders. While interview scheduling is the primary focus of the role, you'll also provide administrative and operational support to Talent Acquisition as needed.
This position is fully remote and will require the employee to work the hours of 9:00am - 5:30pm ET Monday through Friday.
Responsibilities
- Coordinate high-volume interview scheduling, rescheduling, and cancellations across multiple global time zones.
- Schedule interviews using Greenhouse ATS, Microsoft Outlook, and other scheduling tools.
- Monitor interview confirmations and proactively follow up with candidates and interviewers to ensure attendance or reschedule as needed.
- Partner with recruiters, hiring managers, and interviewers to coordinate interview logistics and resolve scheduling conflicts.
- Ensure candidate records, including resumes and applications, are complete and up to date in Greenhouse ATS.
- Communicate interview details and schedule changes accurately and professionally.
- Maintain confidentiality while handling candidate information and recruiting activities.
- Provide ad hoc administrative and coordination support to the Talent Acquisition team and contribute to continuous improvement of recruiting operations.

- 2+ years of experience in recruiting coordination, interview scheduling, executive scheduling, or a similar administrative or coordination role.
- Experience managing high-volume scheduling across multiple time zones.
- Experience with an Applicant Tracking System (ATS); Greenhouse experience preferred.
- Proficiency with Microsoft Outlook and Microsoft Office.
- Exceptional organizational skills with strong attention to detail and accuracy.
- Excellent written and verbal communication skills with a polished, professional presence.
- Ability to manage multiple priorities in a fast-paced environment while providing outstanding customer service.
- Strong problem-solving skills and the ability to adapt quickly to changing priorities.
- Ability to build relationships with candidates and employees at all organizational levels.
- Ability to maintain confidentiality and exercise sound judgment when handling sensitive information.
