About the Role
We're looking for a remote AI Systems & Automation Specialist to become the operational engine behind how the agency scales — building the internal systems, automations, and AI-powered workflows that let our team do more without adding headcount.
In this role, you'll design and implement automations across media pitching, influencer campaign management, sales outreach, reporting, and operations — starting with a 30-day mission to build our AI-assisted media pitching system, then expanding across the business.
This is not a pure strategy role — but you'll need to think strategically. You'll assess what needs to be built, formulate the right approach, and then execute it yourself. We build fast — we can spin up a working AI tool in 30 minutes. What we need now is someone to implement properly: integrate it all, get it to the finish line, make sure it holds up, and keep improving it. Most agencies scale by hiring more people. We're scaling by building smarter systems — and this role is foundational to how that happens.
Our IDEAL CANDIDATE brings 3–5 years of hands-on experience in automation, systems implementation, marketing operations, or no-code development. You think in workflows, connect tools intuitively, and can look at a messy tech stack and know immediately what to cut, fix, or build. You're meticulous but you ship. You surface problems before they're flagged, show up with ideas already tested, and don't wait to be told what to do — you find the person with the context and go get it. You're kind, direct, and you'll fit right into a Slack channel full of emojis and genuine support.
Performance Metrics: Your performance will be measured by reductions in manual time per task, system adoption across teams, increases in outreach volume, follow-up consistency, and faster campaign setup times.
Reporting Structure: You'll collaborate with teammates across PR, Influencer, and Business Development. This role sits within the Operations team and reports directly to the CEO and VP.

You'll be doing things like:
- Systems Assessment & Architecture: mapping existing manual processes; identifying inefficiencies and non-productive time; recommending which tools to keep, combine, or cut; advising on the leanest effective tech stack
- Automation Implementation: building multi-step workflows using Make, n8n, Zapier, and native integrations; connecting platforms like Gmail, Notion, GoHighLevel, QuickBooks, Lefty, Apollo, Cision, and Muck Rack; consolidating siloed team workflows into centralized systems
- Outreach & Communications: deploying AI-assisted workflows for media pitching, journalist outreach, influencer negotiation, and outbound sales; replacing high-volume manual email chains with automated, humanized sequences that preserve relationships and stay out of spam
- Sales & Biz Dev Systems: building and maintaining GoHighLevel infrastructure; managing CRM automations, lead tracking, and pipeline workflows; developing and refining the AI signal outbound project (integrated with Apollo, Claude, and OpenAI); maintaining inbound booking sequences
- Reporting & Database Infrastructure: consolidating data from Notion, Google Workspace, Cision, MuckRack, Apollo, Lefty, and Clockify; building internal dashboards and campaign reporting systems; maintaining data hygiene across the stack
- Team Enablement & Rollout: running live sessions to train teams on new workflows; collecting feedback and iterating; generating internal guides and SOPs with AI; ensuring everything you build gets adopted and sticks
Skills & Qualifications
- 3–5 years of experience in roles like Automation Specialist, No-Code Developer, Marketing Operations Manager, RevOps Specialist, Systems Architect, or similar
- A portfolio of real work — links, demos, or Loom walkthroughs of systems you've built
- Hands-on experience building automations using Make, n8n, Zapier, or equivalent — you ship workflows, not prototypes
- GoHighLevel power user — you've built flows, CRM structures, dashboards, and reporting from the ground up
- API integration and AI deployment experience — you connect tools reliably and integrate AI (ChatGPT, Claude, OpenAI) into real workflows
- Working knowledge of no-code workspace and database tools (Notion, Airtable, Google Workspace)
- Able to assess and rationalize a tech stack — spot redundancies, recommend cuts, advise on what's needed
- Systems thinker who moves fast — you design logic flows, follow through, ship quickly, and can take a non-technical team on the journey
- Direct, confident, and comfortable with ambiguity — you push back when something's inefficient, test and break things, and don't wait to be told what to do
- Strong English communication — written and verbal, for clear collaboration with a remote team

Position Details
Working Hours: 4 hours of required overlap between 7AM–3PM Pacific Time, with the remaining daily hours asynchronous. Adjusts with Daylight Saving Time.
Employment Type: Full-time (40 hours/week), Exclusivity Preferred
Education: A degree is not required — hustle mentality and a portfolio of real implementation work matter far more
Level: Intermediate (3–5 years of relevant experience)
Compensation: ~USD $2,038–$2,604 (RON 9K–11.5K) per month, based on experience. Structured as a Consultant Agreement (independent contractor), meaning you'll be responsible for your own taxes, benefits, and insurance.
