Help build the operational backbone of high-impact programs.


We’re hiring an Airtable Operations Specialist to support and scale multiple programs (startups, nonprofits, student organizations, creator partnerships). This is a hands-on operations role with a strong systems and automation focus — perfect for someone who loves clean data, smart workflows, and reducing manual work through no-code tools.


This role is brand new. You won’t just follow processes — you’ll help build them.

Role Overview

You’ll start by owning high-volume application reviews and operational workflows inside Airtable, Zendesk, and Notion. As you ramp, you’ll partner closely with the Operations Lead to design automations, improve documentation, and create scalable systems that support growing programs.


This role blends operations execution, systems thinking, and no-code automation.


What You'll Do

1) Application Review & Program Operations

  • Review and process applications across startups, nonprofits, and student programs in Airtable
  • Research website legitimacy, validate eligibility, and update records based on defined criteria
  • Context-switch between multiple programs and workflows while maintaining accuracy and speed


2) Automation & Systems Building

  • Build and maintain automated workflows using Airtable automations, Notion, Zapier, and other no-code/low-code tools
  • Create bespoke lead capture forms, integrations, and automations for creator partnerships and new program launches
  • Identify manual processes and propose scalable, automated solutions


3) Documentation & Process Improvement

  • Proactively identify gaps in documentation
  • Create and update SOPs, process docs, and internal workflows as systems evolve
  • Partner with the Operations Lead to understand pain points and co-design better operational systems


4) CX & Ticket Support

  • Handle light Zendesk ticket management and CX escalations (approx. 1–2 hours daily)
  • Collaborate with internal stakeholders via Slack and documentation


Must-Haves

  • 2+ years of operations experience with heavy tool usage (Airtable, Zendesk, CRM platforms, or similar)
  • Strong Airtable proficiency (fields, records, views, automations, relationships)
  • Proven experience building or maintaining automated workflows or integrations
  • Data management experience — comfortable cleaning, organizing, and maintaining databases
  • Strong systems thinking and problem-solving mindset
  • Experience creating and maintaining SOPs and documentation
  • Comfortable juggling multiple programs and priorities
  • Clear written communication for Slack, documentation, and collaboration
  • Self-starter who identifies undocumented processes and fills gaps proactively
  • Comfortable in fast-paced, ambiguous environments
  • Ability to work PST hours and attend regular video meetings


Nice-to-Have

  • Prior Notion experience
  • Familiarity with APIs, integrations, or data manipulation
  • Experience in startup ecosystems, accelerator programs, or nonprofit operations
  • Using AI tools (ChatGPT, Claude) for ops, documentation, or analysis
  • CRM management or partner/lead-generation workflow experience
