Position: Employee Relations Specialist
Position Location: Remote - work virtually from anywhere in the United States
Job Summary
The Employee Relations Specialist is responsible for managing employee relations matters, workplace conflict resolution, performance management guidance, and multi-state employment law compliance across the organization. This role serves as a key resource to managers and HR leadership on sensitive and complex employment matters, ensuring fair, consistent, and legally compliant employment practices.
This position partners closely with HR leadership, Operations, and senior managers to mitigate organizational risk, strengthen manager capability, and maintain a culture of accountability and trust within a fully remote, multi-state workforce.
The role operates with a high degree of discretion and sound judgment, managing confidential matters independently while escalating high-risk or complex issues to senior HR leadership as appropriate.
Essential Functions
Employee Relations & Workplace Investigations (35%)
- Conduct prompt, thorough, and impartial investigations into allegations of harassment, discrimination, retaliation, policy violations, and workplace misconduct.
- Manage employee complaints and grievances from intake through resolution, including interviews, documentation review, and summary findings.
- Assess risk exposure and recommend appropriate corrective actions in partnership with HR leadership.
- Ensure consistent application of company policies across departments and jurisdictions.
- Guide managers through progressive discipline processes, including written warnings, final warnings, and performance improvement plans.
- Review documentation to ensure consistency, fairness, and compliance with legal standards.
- Coach managers on effective feedback delivery, documentation practices, and performance expectations.
- Identify trends in performance issues and elevate systemic concerns to HR leadership.
- Interpret and apply federal, state, and local employment laws including FLSA, FMLA, ADA, PWFA, Title VII, wage and hour laws, and applicable state leave laws.
- Monitor regulatory updates impacting employment practices.
- Ensure investigation and disciplinary documentation meets compliance and evidentiary standards.
- Partner with HR leadership and legal counsel on higher-risk matters as needed.
- Support drafting, revising, and maintaining employee handbook policies and employee relations procedures.
- Utilize standardized templates and workflows for investigations and corrective action.
- Ensure HR systems align with policy execution and documentation standards.

- Serve as a trusted resource to managers regarding employee relations matters.

- Support proactive risk mitigation efforts through trend monitoring and analysis.
Position Requirements (INTERMEDIATE level TO ADVANCED for all the following unless otherwise noted)
- Demonstrated knowledge of federal, state, and local employment laws and ability to apply legal standards to employee relations matters within a multi-state environment.
- Demonstrated high emotional intelligence, including the ability to remain neutral, manage emotionally charged situations, and communicate difficult decisions professionally.
- Strong risk-awareness and sound judgment in handling confidential and sensitive matters.
- Strong written communication skills with the ability to produce clear, accurate, and defensible documentation.
- Experience conducting structured workplace investigations, including interviewing, documentation review, and drafting objective findings.
- Experience advising managers on performance management and corrective action processes.
- Demonstrated experience support a multi-state workforce.
- Ability to manage multiple cases simultaneously while maintaining attention to detail and follow-through.
- Demonstrated experience using HRIS platforms, including Rippling (preferred), for case documentation and reporting.
- Professional HR certification (SHRM-CP, PHR, or similar) preferred.
- Ability to work independently and collaboratively within a distributed, remote workforce.
- Ability to work under pressure and meet deadlines.

- Bachelor’s degree in human resources, business, psychology or a related field
- A recognized HR certification (e.g., PHR, SPHR, SHRM-CP, SHRM-SCP)
- Two years of human resource experience
- Minimum of five years of human resource experience, with significant focus on employee relations and workplace investigations.
