About The Role

We are seeking an experienced HR Specialist (Payroll & Benefits) to join our expanding People team. In this pivotal role, you will be responsible for managing payroll coordination and benefits administration across our U.S., Canadian, and international teams. You will serve as a key partner to Operations, Finance, and external vendors, ensuring employees and contractors are paid accurately and receive comprehensive benefits support. Your expertise will help maintain compliance with multi-jurisdictional payroll laws, streamline HR operations, and enhance employee experience. Qualifications

  • 3+ years of hands-on payroll and benefits administration experience, including multi-state jurisdictions; international experience is a plus.
  • Strong knowledge of U.S. and Canadian payroll laws, tax regulations, and benefits compliance.
  • Experience supporting HR compliance processes such as policy acknowledgments, required trainings, audits, and handbook updates.
  • Proven ability to manage vendor relationships and negotiate contracts effectively.
  • Excellent organizational, communication, and problem-solving skills.
  • Experience working in a remote or distributed environment.
  • Proficiency with HRIS systems such as BambooHR, payroll platforms like Deel, TriNet, or similar tools.
  • Ability to analyze data, identify process improvements, and implement automation solutions.
  • Detail-oriented with a focus on accuracy and compliance.

Responsibilities

  • Serve as the primary point of contact for payroll vendors (Deel, TriNet) and collaborate with Finance to ensure timely and accurate payroll processing for employees and contractors.
  • Audit and validate payroll data, including new hires, terminations, and changes, ensuring compliance with applicable laws.
  • Manage multi-jurisdictional payroll tax notices and correspondence, coordinating with vendors and regulatory agencies to resolve issues promptly.
  • Administer U.S. and Canadian benefits programs, including health, dental, vision, disability, and retirement plans, through TriNet and other partners.
  • Coordinate global benefits administration, supporting employee inquiries, claims, and enrollment processes.
  • Oversee employee leaves of absence, ensuring proper documentation, tracking, and compliance with legal requirements.
  • Maintain accurate employee records within HRIS systems and ensure alignment across payroll, benefits, and HR data.
  • Support HR compliance initiatives, including policy updates, training, audits, and documentation efforts.
  • Generate offer letters, onboarding materials, and manage offboarding processes in collaboration with Talent Acquisition and relevant teams.
  • Lead vendor negotiations, manage renewal processes, and identify opportunities for workflow automation and process enhancements.
  • Support the scaling of HR operations by developing and maintaining documentation, workflows, and compliance checklists.
