Job Description
We are looking for a hands-on, well-rounded HR Manager to lead day-to-day HR operations, payroll coordination, and the full talent cycle for our European HQ and Sales organization.
Key Responsibilities & Tasks
A. Hands-on HR Operations & Administration
- Employee Lifecycle: Managing the operational execution of onboarding, contract adjustments, and offboarding for all ~50 employees.
- HR Point of Contact: Acting as the accessible, day-to-day point of contact for employees and managers regarding practical HR questions, policies, and benefits.
- HR Systems: Keeping personnel files and centralized HR systems (transitioning to Loket) accurate, up-to-date, and GDPR-compliant.
B. Global Mobility & Expat Support
- Relocation & Onboarding: Practical handling of the relocation process for incoming expats, including visa applications, housing guidance, and local registration
- Expat Benefits & Tax: Coordinating the 30% ruling applications and acting as the bridge to external tax advisors and global mobility vendors. Support true up's and 13th run for our expats
- Expat Payroll Liaison: Ensuring correct data delivery for expat-specific payroll elements

C. Monthly Payroll Coordination & Financial Audit Prep
- Payroll Processing: Preparing and mutations-checking the monthly payroll data for the local and expat workforce, working closely with external payroll providers and global mobility experts
- WKR Management (Werkkostenregeling): Monitoring and managing the free scope (vrije ruimte) of the WKR in close alignment with the Finance department. Ensuring employee allowances, gifts, and benefits are correctly classified and registered to prevent tax penalties.
- Audit Readiness: Gathering and providing the practical HR/payroll documentation (accrued vacation days, bonus distributions, payroll logs) needed by finance teams and external auditors for year-end closings.
D. Practical Recruitment & Performance Management
- Annual Performance Cycle: Facilitating and coordinating the annual employee assessment and review process. This includes preparing appraisal documentation, guiding line managers through the evaluation timeline, and ensuring all reviews are signed and archived.
- Compensation & Benefits Alignment: Processing the outcomes of the performance cycle (e.g., salary adjustments, promotions, or bonus allocations) and updating payroll and HR systems accordingly.
- Vacancy Management: Managing the recruitment process for open positions within the HQ and Sales teams—from posting jobs to scheduling interviews and final contract offers.
- Assessment Coordination: Practical coordination of candidate assessment programs and screening tools during the hiring process.

E. Absence Management & Compliance
- Sick Leave Tracking: Active tracking and reporting of sick leave, ensuring strict compliance with the Dutch "Wet verbetering Poortwachter" (coordinating with the Arbodienst).
- Local Benefits: Managing practical communication and implementation of local collective benefits, including the company pension plan (Nationale-Nederlanden).
Profile & Requirements
Experience: 4–7 years of experience in an all-round, hands-on HR role (HR Officer, HR Generalist, or HR BP) within a small-to-medium-sized international setup (~50–100 employees).
Mindset: Highly operational, organized, and approachable. You enjoy doing the administrative work yourself while maintaining a great relationship with the team.

Knowledge & Expertise:
- Solid, practical experience with Dutch labor law, "Wet verbetering Poortwachter", and the WKR guidelines.
- Direct experience with expat onboarding, visas, and the 30% ruling.
- Experience with checking monthly payroll input/mutations.
Languages: Fluent in English and Dutch is mandatory.
Systems: Experience with modern Dutch HR/payroll systems (ideally Loket or similar). Willingness/experience to migrate to Workday as our global HR system
