The Opportunity

We’re hiring a Hackathon Sponsorship Coordinator to join the core growth team at a fast-growing AI infrastructure company building tools for developers and creators — owning end-to-end coordination of a high-volume hackathon sponsorship program that spans ~50 events per month and is scaling toward 100+. You’ll manage the dedicated sponsorship inbox, run organizer correspondence from first contact through redemption, keep sponsorship data clean and current, and process participant coupon codes through an AI-assisted validation workflow; the role is heavily relationship-driven and operations-focused, with most of the flow supported by a strong template library and existing automations that you’ll work within and help improve over time.


What Your Day-to-Day Will Look Like

  • Inbox & Organizer Correspondence: Own the dedicated hackathon sponsorship inbox — managing inbound requests, drafting organizer replies for quick review and send, and personally handling the edge cases and returning organizers that fall outside standard automation.
  • Sponsorship Process Management: Kick off the sponsorship process for new and returning organizers — pulling event history for context, getting organizers to complete the standardized sponsorship form, and sending the standard offer and redemption instructions with a light personal touch for returning partners.
  • Coupon Code Processing: Pull participant CSVs (~72 hours pre-event), run them through the AI email-validation workflow (Claude/N8N via Slack or email) to strip fake and duplicate addresses, then load clean emails and codes into the redemption spreadsheet.
  • Participant Redemption Support: Provide live support in the hackathon Discord channel — troubleshooting typos, email mismatches, and other participant redemption issues as they arise.
  • Data & Tracking: Keep the sponsorship spreadsheet current, track event outcomes, and maintain clean and organized event records — escalating cash and financial sponsorship requests to the internal team for sign-off.
  • Parallel Conversation Management: Juggle approximately 20 active organizer conversations simultaneously with accuracy, urgency, and a consistent relationship-first tone across every touchpoint.


What You Bring

  • Written Communication & Relationship Instincts: Excellent written English and a relationship-first approach to organizer correspondence — comfortable owning partner communication end-to-end and keeping external contacts warm across a high volume of parallel conversations.
  • Organization & Attention to Detail: Strong organizational skills with the ability to manage ~20 simultaneous conversations accurately — including precise coupon code and email data entry where errors have real downstream impact.
  • Ops & Automation Comfort: Comfortable working inside existing automations, spreadsheets, scripts, and bots rather than building from scratch — with solid inbox and email management habits to match.
  • Self-Direction & Availability: Self-directed with fast turnaround; able to work US business hours with London overlap during onboarding.

  • You’re an AI enthusiast who enjoys working with tools like Claude and N8N and naturally spots ways to streamline manual work.
  • You have prior experience in partnerships, sponsorships, or events coordination.
  • You have Discord community management experience.
  • You are comfortable hopping on the occasional organizer call (rare, and nearly always US morning hours — the vast majority of organizers are handled entirely over email).
