About the Role
We are currently seeking an organised, proactive, and highly professional European Administration Coordinator to join our expanding team. This is a varied and fast-paced role that provides support to senior leadership, project teams, and operational functions across multiple locations throughout Europe.
The successful candidate will play a vital role in ensuring the efficient day-to-day coordination of administrative operations, travel and accommodation management, project mobilisation, compliance activities, and office administration.
This position is ideally suited to an individual who thrives in a busy environment, can confidently manage multiple priorities, and enjoys working collaboratively within a dynamic team.
Key Responsibilities
- Coordinate staff travel, accommodation, and vehicle hire requirements across various projects and office locations.
- Support and oversee the effective operation of administration and time management functions.
- Manage general office administration and day-to-day coordination activities.
- Assist operational and project teams with project setup activities, including liaising with local authorities and coordinating subcontractor onboarding.
- Provide administrative and operational support to Directors and Senior Leadership teams.
- Prepare professional correspondence, reports, presentations, and documentation.
- Coordinate compliance requirements across multiple European jurisdictions.
- Manage document control systems, compliance platforms, and project records.
- Assist with employee relocation processes and associated HR documentation.
- Liaise with accountants, tax advisors, insurance providers, and other external stakeholders.
- Prepare and maintain documentation required for audits and compliance reviews.
- Work closely with HR and Health & Safety teams to ensure company policies and procedures remain current and compliant.

Essential Requirements
- Proven experience supporting senior management within a busy administrative or operational environment.
- Previous experience within construction, engineering, or project-based industries would be advantageous, though not essential.
- Strong working knowledge of Microsoft Office Suite, including Outlook, Excel, Word, PowerPoint, OneNote, and SharePoint.
- Excellent organisational skills with the ability to manage multiple priorities and maintain strong attention to detail.
