  The Role

Agency Collective is hiring a Project Manager to be the operational backbone of our agency network. You'll own timelines, workflows, and cross-functional coordination across creative, paid media, email marketing, web development, and client success, making sure nothing falls through the cracks across multiple brands and client accounts.

This isn't a "check the box" PM role. You'll be embedded in the day-to-day rhythm of a fast-moving agency where priorities shift, deadlines are real, and the difference between a good week and a bad one often comes down to how well projects are tracked, communicated, and delivered. You'll work directly with the COO to build and refine the operational systems that keep this machine running.


What You'll Do

Project Ownership & Execution

  • Own project timelines from kickoff to delivery across creative production, paid media launches, email marketing campaigns, website revisions, and approval cycles
  • Translate client requests into clear internal tasks with actionable deliverables, assigned owners, due dates, priorities, and dependencies
  • Manage multiple brands and client accounts simultaneously while maintaining organization and communication standards
  • Proactively identify and flag blockers before they create delays — not after
  • Ensure final deliverables are quality-checked before client delivery


Workflow & Board Management

  • Build and maintain project boards, workflows, task delegation structures, automations, and process organization across tools like Asana, ClickUp, Monday.com, or Notion
  • Maintain exceptional board hygiene, checking project boards multiple times daily to ensure tasks are progressing and deadlines aren't slipping
  • Adapt quickly to new project management platforms as client or team needs evolve
  • Follow up with team members consistently without needing direct oversight from leadership
  • Hold team members accountable in a professional, solutions-oriented manner


Cross-Functional Coordination

  • Work cross-functionally with creatives, video editors, email marketers, client success managers, paid media buyers, developers, and operations teams
  • Understand urgency levels across every department, paid media, creative, email marketing, web development, operations, and client communication, and prioritize accordingly
  • Run internal check-ins and keep meetings organized and productive
  • Document meeting notes, approvals, action items, and next steps after every call
  • Join all closeout and client wrap-up calls to review pending deliverables, blockers, revisions, and outstanding items


Communication & Reporting

  • Keep client success and leadership teams updated on project statuses, risks, delays, and delivery timelines
  • Communicate clearly and professionally across Slack, project management platforms, Loom, Google Workspace, and client-facing channels
  • Surface issues early, leadership should never be surprised by a missed deadline


Operations & Systems

  • Assist the COO with SOP creation, process building, operational documentation, and systems organization
  • Identify inefficiencies within internal workflows and drive improvements
  • Maintain and continuously update SOPs and workflows as operations evolve
  • Leverage AI tools to improve operational efficiency, organization, communication, and workflow optimization

  • Projects ship on time, on spec, and without last-minute scrambles, because you caught the issues early
  • Board hygiene is immaculate — anyone on the team can open the project board and know exactly where things stand
  • Cross-functional teams feel supported, not micromanaged — you bring structure without slowing people down
  • The COO can trust that operations are running cleanly without needing to check in constantly
  • Client-facing teams always have accurate, up-to-date project statuses to share with clients
  • SOPs and processes actually get documented, maintained, and improved, not just talked about
  • You manage multiple brands simultaneously without dropping quality or communication
  • Team members respect your follow-ups because you're consistent, professional, and solutions-oriented


Qualifications

  • 3+ years of Project Management experience, preferably within a fast-paced agency environment
  • Strong expertise in project management platforms, Asana, ClickUp, Monday.com, or similar, including board building, workflow organization, task delegation, automations, and process structuring
  • Proven experience working cross-functionally with creative, media, email, development, and client-facing teams
  • Deep understanding of creative production timelines, paid media launch timelines, email marketing schedules, website revision cycles, and approval workflows
  • Highly organized, proactive, and detail-oriented with the ability to manage multiple moving parts simultaneously
  • Strong written and verbal communication skills across Slack, project management tools, Loom, Google Workspace, and client-facing communications
  • Comfortable holding team members accountable while maintaining a professional, collaborative tone
  • Experience with AI tools for operational efficiency and workflow optimization
  • Remote-first mindset, self-directed, reliable, and able to work independently while keeping teams aligned


Preferred

  • PMP certification
  • Experience across multiple project management platforms (Asana, ClickUp, Monday.com, Notion)
  • Familiarity with Zapier/Make, Slack workflows, Google Drive organization, and AI automation tools
  • Agency experience managing projects across multiple client accounts
  • Experience in marketing, advertising, or digital agency environments
  • Located in California


Compensation

  • $50,000 – $75,000 annual salary based on experience — full-time W2 or hourly contract.
  • Performance bonus eligibility — structure and targets to be determined
