About You

Residence is seeking a full-time HR & Payroll Specialist to join our fast-growing HR team in Europe. This role will be based in our Amsterdam office and reporting to the Director of HR. The Payroll & HR Specialist will own HR and payroll across all company locations in Europe and will play a key part in benefits administration, payroll coordination, HR compliance, onboarding, and employee support, while delivering a high level of service in a dynamic, creative environment.

Key Responsibilities

Payroll

  • Own the end-to-end payroll processing for the UK and the Netherlands (including new hires, terminations, and compensation changes) ensuring accuracy, compliance, and timeliness, working closely with the Director of HR and the Payroll team in the US.
  • Build strong relationships with the external payroll vendor and coordinate with both internal and external stakeholders.
  • Ensure compliance with local tax, statutory, and reporting requirements, including but not limited to the 30% ruling
  • Be the go to person for payroll activities across other European countries, including the EOR’s
  • Support payroll reconciliations, reporting, and audits
  • Maintain payroll documentation and improve processes where possible
  • Maintain adherence to timekeeping procedures and accurate record-keeping.

Benefits Administration

  • Administer the employee benefits and welfare programs, including enrollments, changes, and terminations.
  • Reconcile benefits statements and vendor invoices.
  • Manage Absence tracking and requests for salaried employees
  • Manage pension schemes, enrollments, and ongoing compliance
  • Liaise with external vendors and brokers around the time of renewals and propose changes

HR Operations & Administration

  • Maintain and update employee records in the HRIS (HiBob)
  • Ensure data accuracy and integrity across HR systems
  • Support onboarding and offboarding processes from an administrative perspective
  • Respond to employee queries related to payroll, benefits, and HR policies
  • Partner closely with HR Coordinator on managing the HR Inbox
  • Assist with employee relations matters and documentation
  • Support workplace injury reporting and related processes
  • Prepare HR correspondence and documentation as requested
  • Maintain confidential employee files and records
  • Perform additional HR administrative and operational duties as assigned

Immigration

  • Support the HR team with setting up the immigration framework for the Netherlands and the UK, bringing the processing in house.
  • Support the execution of all the immigration processes for new hires and existing employees requiring sponsorship or visa support in the Netherlands, the UK and support this for other European countries where required
  • Manage relationships with external immigration legal counsel and ensure timely and accurate visa applications and renewals.
  • Support on the development and implementation of global mobility policies and procedures for international assignments and transfers within Europe.

Compensation & Projects

  • Support the annual compensation review process (salary increases, benchmarking)
  • Assist with HR projects, process improvements, and policy updates where necessary
  • Contribute to HR reporting and analytics

Qualifications

Education & Experience

  • Bachelor’s degree in Human Resources, Finance, Business Administration, or related field (or equivalent experience)
  • Proven experience in payroll administration, covering the UK and the Netherlands
  • Strong understanding of payroll compliance, tax, and statutory requirements
  • Experience working with HRIS systems (HiBob experience is a plus)
  • Experience in benefits and pension administration
