Location: Fully Remote (United States)

About the Role
The Senior Total Rewards Administrator - Retirement & Benefits reports to the Director of Total Rewards and is responsible for the administration, compliance, and ongoing operation of the company’s 401(k) and retirement programs. This role owns the execution of retirement plan processes, system integrations, audits, and data integrity, and serves as a key resource for retirement-related initiatives and employee support.
In addition to retirement plan responsibilities, the role contributes to the administration of health and welfare benefits and broader Total Rewards operations. This includes ensuring accurate data management, responsive employee support, and reliable execution across benefits programs as business needs evolve.
This position requires strong technical expertise, sound judgment, and the ability to operate independently with minimal supervision in a fully remote environment. Advanced Workday proficiency and strong Excel skills, including VLOOKUPs, are essential.
Key Responsibilities:
401(k) & Retirement Plan Administration
- Serve as the operational owner and main point of contact for all 401(k) and retirement plan activities
- Manage ongoing retirement plan operations, including participant transactions, loans, hardships, distributions, and terminations
- Lead and support retirement plan initiatives such as plan consolidations, migrations, and system integrations
- Coordinate with internal stakeholders and external partners to support effective retirement plan administration
- Oversee ERISA audits, compliance testing, and required regulatory filings
- Ensure adherence to ERISA, IRS, and DOL requirements
- Upload, audit, and reconcile payroll and retirement plan contribution files
- Conduct regular audits to confirm accurate employee deferrals and employer matching contributions
- Monitor retirement plan data integrity across systems

- Prepare and deliver employee-facing communications related to retirement plans, changes, and compliance requirements
- Maintain audit-ready documentation, controls, and process records
Benefits, Compensation Administration & Data Management
- Administer health and welfare benefits within Workday, including enrollments, changes, and terminations as needed
- Audit benefits elections and payroll deductions to ensure accuracy and compliance
- Run, analyze, and reconcile Workday reports related to benefits eligibility, deductions, and leave status
- Perform data reconciliations across HRIS, payroll, and benefits systems using advanced Excel techniques, including VLOOKUPs
- Maintain data integrity across HR, payroll, and benefits platforms
- Process benefit-related payroll adjustments, arrears, and retroactive changes
- Track employees on leave and ensure accurate benefits status updates
- Calculate and communicate premium payments for employees on unpaid leave
- Process return-to-work updates, benefit reinstatements, and COBRA-related activities
- Respond to benefits and disability verification requests
- Reconcile benefits invoices and resolve discrepancies in partnership with Finance
- Respond to employee benefit inquiries within established service expectations
- Review and process qualifying life events and supporting documentation
- Maintain internal benefits documentation and knowledge resources
- Periodically assist the Total Rewards Director with benchmarking-related activities
Qualifications:
Required:
- 5+ years of experience in 401(k), retirement, and/or benefits administration
- Strong working knowledge of retirement plan compliance, audits, and testing requirements
- Intermediate to advanced Workday experience, including Benefits, Payroll, and Reporting
- Advanced Excel skills, including VLOOKUPs, pivot tables, and complex data reconciliation
- Demonstrated ability to manage complex operational workflows independently with minimal supervision
- Exceptional attention to detail and strong organisational skills
- Clear written and verbal communication skills
- Ability to work effectively in a fully remote environment
