Job Description


Position Purpose

As a direct report of the Vice President, People & Culture, the Senior Manager, Payroll & Benefits is a specialized operational role responsible for the accurate, compliant, and timely administration of payroll, benefits, and HR systems for the organization. This role serves as the single point of accountability for payroll execution, tax and audit compliance, HRIS data integrity, and benefits administration, ensuring employees are paid correctly, benefits are administered effectively, and systems operate with precision and reliability.

FLSA Status: Full Time, Exempt

Location: Continental United States (100% remote), East Coast Time Zone Preferred

Travel: <5%

Essential Duties And Responsibilities

Payroll Management

  • Own end-to-end processing of semi-monthly payroll, ensuring accuracy, timeliness, and compliance
  • Manage timekeeping data, earnings, deductions, withholdings, and payroll registers
  • Serve as primary point of contact for payroll inquiries, corrections, and tax-related matters
  • Coordinate payroll audits, reconciliations, and year-end processing
  • Ensure compliance with federal, state, and local payroll and wage-and-hour regulations

Benefits Administration

  • Administer employee benefits programs, including medical, dental, vision, life, disability, retirement, and ancillary plans
  • Manage vendor and broker relationships and oversee annual open enrollment in collaboration with VP, People & Culture
  • Reconcile benefits invoices and identify discrepancies or cost-saving opportunities
  • Ensure accurate benefits deductions in payroll HRIS and benefit systems
  • Prepare and deliver clear employee communications related to benefits and enrollment changes
  • Analyzes and assesses related benefit needs and trends; provides recommendations to the VP, People & Culture based on current best practices, and is responsible for implementing and communicating updates across the workforce
  • Oversee the end-to-end management of Leave of Absence requests, ensuring compliance with company policies and relevant laws. Serve as the primary point of contact for employees regarding LOA inquiries, providing clear guidance and support throughout the process.

HRIS & Systems Management

  • Serve as system owner for HRIS and payroll platforms, ensuring data accuracy and integrity
  • Manage system configurations, upgrades, integrations, and troubleshooting
  • Develop and maintain reports, dashboards, and compliance-related system outputs
  • Partner with vendors to resolve system issues and implement enhancements

Compliance & Reporting

  • Manage workers’ compensation reporting and annual insurance audits
  • Ensure timely and accurate tax filings and regulatory reporting tied to payroll and benefits
  • Maintain documentation and controls related to payroll, benefits, and systems compliance

Education & Related Work Experience

Education Level: Bachelor’s Degree in Human Resources, Business Administration, or a related field preferred, or equivalent relevant experience. SHRM-CP, HRCI or other certification a plus.

Work Experience: 5-8 years experience managing payroll required; background in a non-profit or mission-driven organization is a bonus but not required. A minimum of 5 years of experience with HRIS systems is required. UKG Ready System experience is a plus but not required.

Skills and Knowledge: Excellent verbal and written communication skills; Excellent interpersonal, negotiation, and conflict resolution skills; Excellent organizational skills and attention to detail; Excellent time management skills with a proven ability to meet deadlines; Solution-oriented; advanced analytical and problem-solving skills; Ability to prioritize tasks and delegate them when appropriate; Ability to act with integrity, professionalism, and confidentiality;

Thorough, current knowledge of employment-related laws and regulations; Proficiency with Microsoft Office Suite or related software; Proficiency with (highly preferred) or the ability to quickly learn HRIS and talent management systems. UKG a plus but not required; Familiarity with non-profit sector challenges and HR best practices.
