We are seeking a highly organized, detail-oriented, and resourceful Event & Project Manager to lead the planning and execution of events while also overseeing broader project coordination across departments. This role will manage end-to-end logistics, collaborate with internal and external stakeholders, and ensure timely, on-budget delivery of high-quality events and projects.
Job Responsibilities
Event Management
- Collaborate with event planners and vendors to ensure that all details are in place and the event runs smoothly.
- Oversee and manage all aspects of the event, including logistics, catering, audio/visual needs, transportation, and accommodations.
- Coordinate and communicate with vendors to ensure that their work aligns with the event's requirements.
- Ensure that the event adheres to the client's budget, timeline, and objectives.
- Create event timelines, budgets, and work plans.
- Work with the marketing team to promote the event and ensure that attendance goals are met.
- Conduct post-event evaluations to assess the event's success and identify areas for improvement.
- Communicate with clients throughout the event planning and execution process to ensure that their expectations are met.
- Manage event staff and volunteers, including scheduling and assigning duties.
- Handle any issues or concerns that arise during the event.
- Develop comprehensive project plans, timelines, budgets, and work breakdown structures.
- Monitor project milestones, ensuring tasks are completed on time and within budget.
- Facilitate cross-functional communication among internal teams, clients, and stakeholders.
- Maintain detailed project documentation, track deliverables, and prepare progress reports.
- Identify project risks and implement mitigation strategies.
- Support resource allocation and team capacity planning.
- Bachelor's degree in Event Management, Project Management, Communications, or a related field.
- 3+ years of experience in event planning, project coordination, or project management.
- Strong organizational and time management skills with the ability to manage multiple priorities.
- Ability to work in a fast-paced, high-pressure environment.
- Ability to work well under tight deadlines and manage multiple priorities simultaneously.
- Excellent interpersonal and communication skills.
- Ability to adapt quickly, problem-solve on the fly, and maintain professionalism under pressure.
- Any background in graphic design or demonstrated comfort using tools like Canva or similar platforms is a strong plus.
- Ability to create visually appealing presentations, event materials, and basic marketing assets when needed.
