About the Role

As a Business Systems Administrator, you will be responsible for overseeing and optimizing the company’s core internal platforms while providing hands-on technical support to a fully remote team. This is a highly cross-functional role that works closely with leadership, Operations, Customer Support, Inventory, and Account Management to ensure systems are stable, secure, well-documented, and scalable.

You will manage tools such as HubSpot, Google Workspace, RingCentral, and the website backend, while also identifying opportunities for automation and operational improvements.


Responsibilities

  • Administer, maintain, and optimize core business systems including HubSpot, Google Workspace, RingCentral, and other internal tools.
  • Configure user accounts, permissions, email routing, security protocols, and access controls.
  • Set up, troubleshoot, and maintain system automations, workflows, and integrations.
  • Provide real-time technical support to a fully remote team during EST hours, resolving issues related to access, integrations, email configuration, and system performance.
  • Create and maintain internal documentation, SOPs, and quick reference guides for systems and recurring issues.
  • Manage website backend tasks such as content updates and basic configurations.
  • Act as a liaison with external vendors and development partners, escalating issues, clarifying requirements, and following up on fixes or improvements.
  • Monitor system usage, website uptime, and performance, proactively identifying and preventing potential issues.
  • Support leadership with reporting, platform configuration, and light data hygiene tasks.
  • Recommend tools, processes, and automations to improve efficiency and scalability.

  • Requirements

    Must Have

    • 5+ years of experience in IT administration, business systems management, or technical operations.
    • Strong hands-on experience with HubSpot CRM (admin settings, workflows, troubleshooting).
    • Strong hands-on experience with Google Workspace Admin (email setup, permissions, security).
    • Experience with RingCentral or similar VoIP systems (such as Aircall or CloudTalk)
    • Proven ability to configure systems, workflows, automations, and user accounts.
    • Solid troubleshooting skills with a proactive, preventative mindset.
    • Experience supporting fully remote teams in fast-paced environments.
    • Advanced business English, both written and spoken.
    • Knowledge of automation tools such as Zapier, Make, or HubSpot workflows


    Nice to Have

    • Experience managing or coordinating website backend tasks and CMS platforms.
    • Comfort working with external vendors or technical partners.
    • Interest in emerging technologies, AI tools, and systems that improve operational efficiency.
    • Background in SaaS, travel, operations, or startup environments.
