About The Role
Phil is seeking a detail-oriented and driven Payroll Manager to join our finance team. This vital role involves building and scaling our payroll function to support the company's rapid growth. As Payroll Manager, you will be responsible for overseeing all aspects of payroll processing for our US-based employees, ensuring accuracy, compliance with applicable laws, and operational efficiency. You will own payroll accounting processes and collaborate closely with cross-functional teams, including HR, Finance, and IT, to optimize payroll systems and workflows.
Reporting directly to the Controller, you will play a key role in automating payroll processes, managing payroll-related audits, and maintaining payroll records. This hands-on position requires a strategic mindset to develop scalable payroll solutions while ensuring day-to-day operational excellence. As the company expands, you will supervise and mentor payroll staff, fostering a high-performance team environment. Your efforts will directly contribute to a smooth employee experience and compliance with all relevant regulations, positioning Phil for sustainable growth and success in the health-tech sector.
Qualifications
- 7+ years of payroll experience, preferably within a high-growth tech startup environment
- Deep understanding of US payroll regulations and compliance standards
- Proficiency with payroll software and HRIS platforms (Paylocity experience a plus)
- Experience managing payroll for distributed and multi-state teams
- Strong analytical, organizational, and communication skills
- Payroll accounting experience, including handling monthly payroll, bonuses, PTO, and related accruals (preferred)
- Bachelor’s degree in Accounting, Finance, Business Administration, or a related field (preferred)
- Oversee and process accurate, timely payroll for all US employees, ensuring compliance with federal, state, and local regulations
- Develop, implement, and optimize payroll systems and processes to support company growth and scalability
- Collaborate with People Operations and HR teams to manage payroll components of employee benefits such as health, dental, vision, and retirement plans
- Ensure timely and accurate payroll tax filings and payments
- Serve as the primary point of contact for payroll inquiries, resolving issues efficiently and effectively
- Maintain accurate payroll records for internal audits and external compliance audits
- Assist with HRIS and payroll system implementation projects, providing guidance and expertise
- Ensure the confidentiality, security, and integrity of payroll and employee data at all times
- Support the Accounting team with month-end close activities related to payroll, including journal entries and reconciliations
- Supervise and coach payroll staff as the team expands, fostering professional development and operational excellence
- Coordinate with auditors and manage payroll tax audits to ensure ongoing compliance with applicable laws and policies
- Work collaboratively with HR, Finance, and IT teams to streamline payroll processes and enhance system integrations
- Stay informed on evolving payroll laws, regulations, and best practices to ensure ongoing compliance and process improvement
