Overview
Point Source Youth (PSY) is a national leader in the movement to prevent and end youth homelessness. Since 2015, we’ve partnered with communities to scale direct cash transfers, as prevention, Targeted Housing Assistance Program, and Direct Cash Transfers for housing, and other evidence-based strategies that center the agency of young people, especially BIPOC and LGBTQIA2S+ youth, preventing and ending youth homelessness. Our work spans research, policy, advocacy, and implementation, culminating each year in our National Symposium on Solutions to End Youth Homelessness.
We seek a collaborative, detail-oriented, and strategic leader to serve as our Director of Operations. This role oversees day-to-day operational functions—including HR administration, basic finance oversight, internal communications, administrative support, and organizational systems management—while supporting organizational growth and staff well-being. This person leads with humility, champions organizational culture, and ensures that the internal infrastructure keeps pace with our mission. They can oversee complex workflows, manage processes, and build systems that make our work stronger, more equitable, and more effective.
Responsibilities
Organizational Operations & Systems Management (50%)
- Oversee and continually improve internal operations across teams, ensuring workflows are efficient, equitable, and aligned with organizational priorities.
- Develop and maintain organizational policies, procedures, and Standard Operating Procedures to ensure consistency, compliance, and operational clarity.
- Manage vendor relationships, technology systems, facilities coordination (if applicable), and organizational subscriptions.
- Manage the creation, execution, and ongoing maintenance of all contracts and Memoranda of Understanding (MOUs) with partners and consultants.
- Track and report on operational performance metrics; provide regular updates to senior leadership and the Board.
- Lead organizational risk management processes, including compliance with nonprofit regulations, insurance updates, and annual filings.
- Support cross-departmental projects by ensuring clear timelines, documentation, and communication pathways.
- Track organizational KPIs and operational metrics; provide reports to the Executive team and Board as needed.
- Manage physical office space including lease renewals, equipment needs and utilities.
- Oversee all administrative and home office purchases.
- Support annual audit and tax filings by acting as a liaison between management, the Board, and the outsourced accounting team for all required information and documents
Human Resources Administration & People Operations (20%)
- Oversee recruitment, hiring, onboarding, and offboarding processes in partnership with supervisors and leadership.
- Maintain accurate and confidential HR records, ensuring compliance with federal, state, and local employment laws.
- Coordinate timesheet review and communication with payroll and benefits providers.
- Support performance management cycles, staff development processes, and implementation of equitable HR practices.
- Respond to basic employee relations concerns and help nurture a healthy, inclusive organizational culture rooted in equity and transparency.
- Assist with benefits administration, including enrollments, eligibility tracking, and liaison with brokers or benefit vendors.
- Ensure ongoing compliance with required staff trainings (e.g., cybersecurity training, sexual harassment training).
- Develop, update and maintain operations and employee manuals.
- Ensure state by state compliance for remote workers in conjunction with payroll company.
- Ensure diversity, equity, and inclusion practices are incorporated throughout all policy, program, and process development.
Finance Support & Administrative Stewardship (20%)
- Support preparation of the annual organizational budget; track expenses and monitor department spending.
- Submit regular invoices to to foundations and external parties as needed
- Process invoices using Bill.Com; train youth consultants and staff on the platform and provide guides and tools as needed
- Maintain financial documentation and assist with audit preparation, grant reporting materials, and compliance requirements.
- Collaborate closely with the finance team or external accounting firm to ensure accurate bookkeeping and financial reporting.
- Track restricted and unrestricted funds in partnership with program and finance staff to ensure proper allocation.
- Quarterly, present the organization's budget, encompassing revenue and expense projections, to the board.
- Manage annual filings for state compliance
Internal and External Communication & Cross-Functional Collaboration (10%)
- Maintain and organize virtual records and administrative documentation using platforms such as Google Drive, Slack, ADP, and Toggl.
- Engage in internal working groups, strategic planning initiatives, and team culture development activities.
- Provide scheduling support to the VP of Direct Cash Transfers for both internal and external meetings.
- Other tasks as assigned
Qualifications
- Minimum of 7 years of progressive experience in nonprofit operations, HR administration, finance support, or organizational management.
- Strong understanding of nonprofit operational requirements, financial structures, compliance, and HR best practices.
- Demonstrated experience implementing or improving organizational systems, workflows, and administrative tools.
- Proven ability to manage budgets, track financial data, and coordinate with accounting or financial partners.
- Experience managing HR functions, including onboarding, benefits administration, staff relations, and policy development.
- Exceptional organizational, communication, and interpersonal skills.
- Demonstrated commitment to racial equity, LGBTQIA+ inclusion, and ethical people-centered leadership.
- Ability to travel occasionally for team meetings, conferences, or partner engagements.
- Proven ability to manage confidential information and operate at the highest levels of managing confidential information
- Excellent project management and organizational skills
- Ideally experience with BambooHR, Salesforce, Toggl and timetracking, and Bill.com
- Ability to work 9 AM- 5 PM Eastern Standard Time.
Salary & Benefits
PSY is committed to practicing salary transparency. The minimum salary for this position is $95,000, and the maximum is $110,000. It is not typical for an individual to be hired at or near the top of this range. A candidate’s relevant experience and our commitment to internal equity determine the final offer. We review compensation regularly to ensure market competitiveness and equity. The hiring range for this position has been carefully crafted to align with the market.
In addition, PSY provides an excellent benefit package; the company pays 100% employer-paid health insurance for employee-only medical coverage. The company covers 75% of the monthly medical coverage premium, including dependents. Additionally, the company covers 100% of the dental and vision insurance premiums for all coverage levels, along with a fully funded Healthcare Spending Account equal to the annual deductible. Also provided are a 401(k) with an annual 4% match, and a monthly home office and cell phone stipend. Employees enjoy 15 vacation days, 10 sick days, and office closures in the summer (1 week) and in December (2 weeks).
Location Requirement
This is a fully remote position; however, the candidate must be able to work 9-5PM EST.
Employment Type
This is a full-time permanent position.
Physical Demands
This position is primarily a sedentary role. However, the person in this position may need to occasionally move about inside the office to liaise with internal staff, access files, office machinery and a copy machine/printer.
