About the role……

The HR Specialist plays a key role in supporting the VP of Finance & Operations in all day-to-day people operations. This role ensures smooth and compliant HR processes across the agency, from hiring and onboarding, to per state compliance, employee support, performance cycles, and documentation. The ideal candidate is organized, people-focused, tech-savvy, and proactive, someone who keeps the HR engine running with consistency and care.


The Day to Day:

  • Ensure all employee documentation, tax forms, and compliance filings are accurately completed and submitted on time.
  • Maintain current knowledge of employment laws and state-by-state HR requirements to support compliance across jurisdictions.
  • Partner with the VP of HR to manage compliant and organized employee records and credentialing.
  • Support hiring efforts by coordinating job postings, candidate sourcing, and interview scheduling.
  • Facilitate a smooth and professional candidate experience from application through offer acceptance.
  • Draft offer letters, prepare hiring packets, and ensure timely system setup for all new hires.
  • Manage onboarding workflows and track milestones to deliver a consistent and supportive new hire experience.
  • Assist with HR programs such as performance reviews, promotions, and compensation changes, ensuring documentation accuracy.
  • Create and maintain HR templates, review packets, and follow-up communications for company-wide initiatives.
  • Serve as the first point of contact for employee HR inquiries, benefits questions, and onboarding support.
  • Support culture-building initiatives, team meetings, trainings, and internal communications.
  • Coordinate offboarding processes, including system removals, exit documentation, and employee feedback collection.


 What you bring to the team:

  • Minimum 5 years of progressive experience in HR operations, people management, or HR administration.
  • Proven track record managing multi-state HR compliance, tax filings, and employee documentation.
  • Hands-on experience supporting full-cycle recruitment, from job postings through onboarding and system setup.
  • Strong understanding of employment laws, FLSA classifications, and state-specific requirements.
  • Experience managing HR processes such as performance reviews, promotions, and compensation updates.
  • Proficiency with HRIS platforms, payroll systems, and digital document management tools (e.g., Gusto, Rippling, BambooHR, or similar).
  • Demonstrated ability to handle sensitive employee information with confidentiality and sound judgment.
  • Excellent organizational, communication, and follow-through skills, with a proactive approach to problem solving and process improvement.
