Job Description

We are a growing marketing agency specializing in content-driven social media management and advertising. We're at an exciting inflection point—transitioning from founder-led execution to scalable, systemized operations. This role is critical to that transformation.

The Role

We're looking for a Marketing Operations Specialist who can do two things exceptionally well: build the operational backbone of our content systems AND execute the day-to-day work.

This isn't just a VA role—it's a systems-builder position for someone who can take processes living in our founder's head, document them into repeatable workflows, and then run those workflows with precision and consistency.

You'll be responsible for:

  • Light video editing for social content
  • Social media post management (scheduling, publishing, monitoring)
  • Ad campaign management (setup, monitoring, optimization)
  • Client reporting (analytics, performance summaries)
  • Systems documentation (SOPs, templates, checklists)
  • Process optimization (identifying inefficiencies, proposing improvements)

What You'll Be Doing

Systems Building (30-40% of time initially, decreasing over time)

  • Document existing workflows by shadowing and interviewing Mariah
  • Create step-by-step SOPs for editing, posting, ad management, and reporting
  • Build templates, checklists, and file organization systems
  • Design a knowledge base that makes processes easy to follow and improve

Content Execution (60-70% of time, increasing as systems solidify)

  • Edit short-form video content (reels, TikToks, YouTube shorts)
  • Schedule and publish social media posts across platforms
  • Set up and monitor ad campaigns (Meta, Google, etc.)
  • Generate weekly/monthly performance reports for clients
  • Respond to comments and messages as needed

Continuous Improvement

  • Track what's working and what's breaking
  • Suggest process improvements and efficiency gains
  • Update documentation as workflows evolve

Who Thrives in This Role

Must-Haves:

Systems thinker — You naturally see patterns and can turn chaos into order

Self-directed — You don't need hand-holding; you figure things out and ask smart questions

Detail-oriented — Mistakes bother you; you catch errors others miss

Process-driven — You love creating checklists, templates, and repeatable workflows

Execution-focused — You're not just a strategist; you do the work

Technical Skills:

  • Video editing tools (CapCut, Adobe Premiere, Final Cut, or similar)
  • Social media scheduling platforms (Metricool, Later, Hootsuite, Buffer, etc.)
  • Meta Ads Manager and/or Google Ads
  • Google Workspace (Docs, Sheets, Drive)
  • Project management tools (Asana, ClickUp, Notion, or similar)

Bonus Points:

  • Experience building SOPs or training documentation
  • Background in marketing agencies or similar fast-paced environments
  • Familiarity with analytics and reporting tools (Google Analytics, Meta Business Suite)

What We're Looking For (Behavioral Fit)

We need someone who:

  • Thrives on structure and consistency — You're energized by creating order and maintaining standards
  • Works independently — You don't need constant check-ins; you proactively communicate updates
  • Values precision — "Good enough" isn't in your vocabulary; you get it right the first time
  • Embraces documentation — You don't just do the work; you capture how it's done so others can replicate it
  • Stays calm under pressure — Multiple clients, shifting priorities, tight deadlines don't rattle you
