Purpose
The Talent Acquisition Operations Specialist plays a vital role in driving operational excellence throughout the recruitment lifecycle. This role is responsible for managing candidate engagement, coordinating recruiting and onboarding logistics, and supporting high-impact projects that enhance systems, processes, and stakeholder experiences. The TA Ops Specialist will conduct audits to ensure compliance, support training initiatives, and serve as a key resource for troubleshooting system issues. A strong technology aptitude is essential, as the role involves optimizing platforms such as SuccessFactors and other HR tools. The ideal candidate is highly organized, adaptable, and thrives in a fast-paced environment, contributing to initiatives that attract and retain top talent aligned with the company’s strategic goals.
Job Responsibilities
- Support, coordinate, and execute activities such as requisition processing, candidate management, interview scheduling, pre-employment checks, and HRIS transactions.
- Manage day-to-day project activities and tasks aimed at enhancing the candidate and hiring manager experience across recruiting and onboarding.
- Liaise between internal stakeholders to ensure smooth rollout and execution of initiatives.
- Troubleshoot and resolve issues within recruitment and onboarding systems.
- Analyze recruitment data to generate reports and insights.
- Responsible for the support, coordination, and execution of activities such as requisition processing, candidate management, interview scheduling, pre-employment checks, and HRIS transactions.
- Communicate effectively with recruiters, HR partners, hiring managers, and candidates to ensure a smooth process.
- Process requisitions and schedule interviews in collaboration with recruiters and hiring managers.
- Supports applicants with online recruitment system account setup, application completion, application updates, and application submissions; responds to applicant inquiries regarding application statuses in the recruitment process.
- Coordinate pre-employment screening activities and assist with new hire onboarding tasks.
- Provide guidance and assistance to candidates, new hires, and hiring managers throughout the recruitment and onboarding process.
- Provide regular updates, reports, and insights on candidate status to internal customers.
- Verify new hire data and hiring new hires into SuccessFactors.
- Prepare and provide necessary documents for employee files while ensuring accuracy, compliance, and confidentiality.
- Review and maintain standardized templates and process documentation for talent acquisition team.
- Assist with other aspects of talent acquisition including employee referrals, relocation assistance, employer branding, recruitment marketing, vendor management and billing, process excellence, etc.
- Identifies opportunities for improving candidate experience within the recruiting and onboarding process.
- Assumes additional responsibilities as needed or directed in support of the Company’s 2025 Strategy.
- BA/BS degree or two to five years in a recruiting or administrative role required
- Knowledge of recruiting practices and selection procedures preferred
- Strong project management skills with a focus on process improvement and stakeholder engagement
- Ability to build and maintain superior relationships with internal and external clients at all levels
- Excellent written/oral communication and organizational skills
- Strong initiative and solid judgement ability
- Ability to work effectively in teams
- Ability to manage competing demands and accept constructive feedback, while being extremely adaptable and flexible
- Proven ability to maintain accurate and organized records; meticulous attention to detail required
